Leveraging Data can Positively Impact Every Level of a Tutoring Program
On the Ground
On the ground, where the tutoring takes place, it starts with choosing and using tools that construct a clear picture of where the students are (as measured against state-established standards for their grade level).
This data, combined with other data and observations, provides a baseline understanding of what each student needs, and allows an initial learning path to be crafted. As the tutor provides targeted, small-group instruction to address the students’ learning gaps, additional tools collect progress data that let us monitor how those learning gaps are changing over time.
At regular intervals throughout the tutoring term, our expert literacy coaches come alongside the tutors to help interpret the progress data by:
1. Identifying the best strategies for targeting the gaps
2. Connecting tutors with research-based resources that lighten the “lift” along the way.
3. Facilitating continuous improvement week-by-week across the duration of the tutoring term.
Behind the Scenes
Behind the scenes, a dedicated Data Team is collecting and combining these and other data streams into interactive dashboards that allow for monitoring of Key Performance Indicators, clear reporting, and exploratory analysis.
Through discrete data cycles, the tutoring term is “chunked” into comparable blocks of data, so that larger trends and patterns can be identified – which, in turn, present opportunities for strategic adjustment, data-driven programmatic decision-making, and planning.
Through custom metrics, the many nuances of program effectiveness can be quantitatively assessed to inform – and, if need be, even correct our qualitative impressions of how things are going on the classroom, site, or district level.
In the Community
At the Community Level, a data-driven approach eases participation in the larger community of stakeholders, grantors, researchers, and partners.
1. Having solid numbers – presented in terms of the right metrics – helps directly speak to how your program is accomplishing its mission, providing much-needed validation of your efforts and refining your unique sense of identity within the larger educational space.
2. Fundraising and advocacy efforts are strengthened by establishing clear, demonstrable returns on investment.
3. The impact of your program’s labors can be multiplied beyond the scope of your context by contributing to the growing body of knowledge and research into effective tutoring and Out-of-School-Time education

At the heart of our success lies our unwavering commitment to data-driven approaches. This year, we've doubled down on this commitment, refining our analytics to provide even more precise, real-time insights into student progress.
We're honored that our tutoring model has been recognized by Stanford University's National Student Support Accelerator, which awarded us their Program Design Badge for excellence in tutoring program design. We were 1 of 7 organizations to receive this Badge. Additionally, the Ohio Department of Education and Workforce has acknowledged TutorSmart as a high-quality, high-dosage tutoring model and we won the Northwest Ohio Nonprofit Excellence Award for Strategic Action.
